Step-by-step compliance and process checklists

Getting Started

Checklists help you stay compliant and organised with structured processes for funding, eligibility, and quality assurance.

Creating a Checklist

  1. Go to Checklists in the sidebar
  2. Click the Available Templates tab
  3. Click Use Template on your chosen checklist
  4. Your new checklist appears in My Checks

Navigating Sections & Questions

Checklists are organised into collapsible sections and questions to keep things manageable:

  • Click a section header to expand/collapse all questions within
  • Click a question to expand/collapse individual question details
  • ✓ Answered indicator shows which questions you've completed
  • Progress bar at the top shows overall completion

Adding Actions

Actions help you track follow-up tasks from your checklists:

  1. Expand a question with an Action Plan field
  2. Click + Add Action
  3. The action form opens automatically
  4. Fill in:
    • Description - What needs to be done
    • Notes/Progress - Track updates and blockers
    • Assigned To - Who's responsible
    • Target Date - When it's due
    • Status - Planned / In Progress / Completed
    • Priority - Low / Medium / High / Critical
  5. Click Remove to delete (with confirmation)
  6. Click the action header to collapse/expand

Team Collaboration

Sharing Checklists

  1. Open your checklist
  2. Click the Share button
  3. Select a team member from the dropdown
  4. Click Add Collaborator
  5. Team members can now view and edit the checklist
  6. Remove collaborators by clicking the X next to their name

Assigning Actions

When creating an action, use the Assigned To dropdown to assign it to a team member. They'll see it in their actions dashboard.

Action Notifications

Sidebar Badge

See the count of your pending actions next to Checklists in the sidebar. Click to go to the checklists page.

Action Banner

When you visit the Checklists page, you'll see a prominent orange banner showing your pending action count. Click it to view all actions.

Actions Dashboard

Access via the orange banner on the Checklists page or directly at /checklists/actions

Filters

  • All Actions - Everything you have access to
  • My Actions - Only actions assigned to you
  • Assigned By Me - Actions you've assigned to others

Status Filter

  • Active (No Completed) - Default, hides completed actions
  • All Statuses - Show everything
  • Planned / In Progress / Completed - Filter by specific status

Smart Sorting

Actions are automatically sorted by priority:

  1. Overdue items first (if not completed)
  2. Then by Priority (Critical → High → Medium → Low)
  3. Then by Target Date (earliest first)

Editing Actions

  1. Click Edit to expand an action
  2. Update any fields (description, notes, status, etc.)
  3. Click Save Changes to update
  4. Changes are saved immediately

💡 Tips & Best Practices

  • Click "Save Changes" at the bottom of the checklist to persist all your responses and actions
  • Use Notes/Progress to track what you've done or blockers you're facing
  • Set realistic target dates and update them if priorities change
  • Check the Actions Dashboard daily to stay on top of pending items
  • Collapse sections/questions you're not working on to focus on what matters
  • Share checklists with your team early to enable collaboration
  • Use Priority levels to ensure critical items get attention first
